Cookie Policy

1. Introduction

This Cookie Policy explains how Learnovia ("Learnovia", "we", "us", or "our") uses cookies and similar tracking technologies on our website and on our web-based business management platform (the "Platform"), which provides customer relationship management (CRM), project management, HR administration, and financial record-keeping tools to our Customers.

This Policy should be read together with our Privacy Policy, which explains more broadly how we collect, use, and protect personal data, including the personal data that may be collected through the use of cookies described here. Where this Cookie Policy refers to "you", it means any visitor to our website, any individual registering for or using a Learnovia account, and any authorised user accessing the Platform on behalf of a Customer.

By continuing to use our website or the Platform, and, where applicable, by providing your consent through our cookie banner or preference centre, you agree to the use of cookies as described in this Policy, except where you have chosen to disable non-essential cookies through the mechanisms described in Section 7.

We may update this Cookie Policy from time to time to reflect changes in the cookies and technologies we use, or in applicable law. Any material changes will be communicated in accordance with Section 9.

2. What Are Cookies?

Cookies are small text files that are placed on your computer, smartphone, tablet, or other device when you visit a website or use a web-based application. Cookies are widely used to make websites and online services work, or to work more efficiently, as well as to provide information to the owners of the site or service.

A cookie typically contains the name of the website it originated from, how long it will remain on your device, and a value, usually in the form of a randomly generated unique number. Cookies allow a website or application to recognise your device on return visits, remember your preferences, and understand how you interact with the site or service.

In addition to cookies, we and our service providers may use similar technologies that perform a comparable function, such as web beacons, pixel tags, local storage, and software development kits (SDKs) used within applications. For simplicity, this Policy refers to all of these technologies collectively as "cookies", unless we specifically distinguish between them.

Cookies can be classified in a few different ways. They can be classified by who places them: first-party cookies are set directly by Learnovia, while third-party cookies are set by a domain other than the one you are visiting, typically because we have engaged a third-party service provider whose technology is embedded in our website or Platform. Cookies can also be classified by how long they last: session cookies are temporary and are deleted when you close your browser, while persistent cookies remain on your device for a set period, or until you delete them, and are used to remember your preferences or recognise you on a return visit.

It is worth noting that cookies themselves are generally not harmful. They cannot access other information stored on your device, run programs, or carry viruses. However, because cookies can be used to store information that identifies your device, and in some cases can be linked to other personal data we hold about you as a registered Customer or user, their use is subject to data protection and e-privacy laws in many jurisdictions, and this Policy is intended to explain our practices in a way that allows you to make informed choices about them.

3. Why We Use Cookies

We use cookies for a number of purposes connected to the operation, security, and improvement of our website and Platform, and, where you have consented, to support our marketing activities. Broadly, our use of cookies falls into the categories described in Section 4: strictly necessary cookies, functional cookies, analytics and performance cookies, and marketing and advertising cookies.

On our marketing website, cookies help us understand how visitors discover and navigate our site, which pages and content are most useful, and how effective our marketing campaigns are, so that we can improve the site and better communicate the value of Learnovia to prospective Customers.

Within the Platform itself, cookies are primarily used to keep you securely logged into your account as you move between different modules and features, to remember display preferences such as your preferred dashboard layout, and to help us identify and resolve technical issues that affect the performance or reliability of the Service.

We do not use cookies to collect any more personal data than is reasonably necessary for these purposes, and we do not use cookies to make automated decisions about you that would produce legal or similarly significant effects, consistent with the approach to automated processing described in our Privacy Policy.

4. Categories of Cookies We Use

Strictly necessary cookies: these cookies are essential for the website and Platform to function properly and cannot be switched off in our systems. They are typically set only in response to actions you take that amount to a request for a service, such as logging into your account, setting your privacy preferences, or filling in forms. Without these cookies, core functionality such as maintaining your logged-in session while you use the Platform would not work correctly. Because these cookies are essential, they are not subject to the consent mechanism described in Section 7, although you can still block them through your browser settings, with the understanding that doing so is likely to affect how the website or Platform functions.

Functional cookies: these cookies allow the website or Platform to remember choices you make, such as your username, language preference, or the region you are in, in order to provide a more personalised experience. They may also be used to remember changes you have made to text size, fonts, and other customisable parts of the Platform's interface. The information these cookies collect is generally anonymised and does not track your browsing activity on other websites.

Analytics and performance cookies: these cookies allow us to count visits and traffic sources, and to understand how visitors move around our website and Platform, so that we can measure and improve performance. They help us identify which pages are most and least popular, understand how visitors navigate the site, and detect and diagnose technical issues. All information these cookies collect is generally aggregated and used on an anonymous or pseudonymous basis, though in some cases it may be combined with other information we hold about you as a registered Customer or user, in accordance with our Privacy Policy.

Marketing and advertising cookies: where used, and always subject to your consent as described in Section 7, these cookies may be set through our website by our advertising partners, and are used to build a profile of your interests and show you relevant content or advertisements on other websites.

They do not directly store personal data such as your name or email address, but are based on uniquely identifying your browser and device. If you do not allow these cookies, you will still see general, non-targeted advertising elsewhere, but it will be less tailored to your interests.

5. Specific Cookies We May Use

The specific cookies placed on your device may change over time as we update our website, the Platform, or the third-party services we rely on. In general terms, the following categories of cookies and similar technologies may be used: session and authentication cookies, which are strictly necessary cookies used to keep you logged into your Learnovia account securely while you navigate between different areas of the Platform, and which typically expire when you log out or after a period of inactivity for security purposes.

Preference cookies, which are functional cookies used to remember settings such as your chosen dashboard layout, display density, or notification preferences within the Platform, so that you do not need to reconfigure them each time you log in.

Website analytics cookies, which are analytics and performance cookies used on our marketing website, and in some cases within the Platform, to help us understand aggregate usage patterns, measure the effectiveness of specific pages or features, and identify areas for improvement. These may be provided through reputable third-party analytics services.

Payment processor cookies, which may be set by Stripe, our third-party payment processor, when you provide payment information in connection with a Learnovia plan. These cookies support fraud prevention and the secure processing of your payment, and are governed by Stripe's own cookie and privacy practices in addition to this Policy.

Customer support and chat cookies, which may be used if we offer a live chat or in-app support widget on the Platform, to maintain the continuity of a support conversation as you navigate between pages, and to allow our support team to see relevant context about your session when assisting you with a query.

Marketing and campaign cookies, which, where used and subject to your consent, may be set through our marketing website by advertising or social media platforms we work with, in order to measure the performance of our marketing campaigns and, where relevant, to show you content related to Learnovia on other platforms you use.

Load balancing and security cookies, which are strictly necessary cookies used to distribute traffic efficiently across our hosting infrastructure and to help detect and prevent malicious activity, such as automated login attempts or other abuse of the Platform, so that the Service remains available and secure for all Customers.

Consent record cookies, which are strictly necessary cookies used to remember the choices you have made in our cookie preference centre, so that we do not need to ask for your consent again on every visit and so that your preferences are respected as you continue to browse our website.

Because specific cookies and the third-party providers who set them can change as our website and Platform evolve, we encourage you to refer to the cookie preference centre or banner on our website, where available, for the most current list of specific cookies in use, including their names, providers, purposes, and expiry periods. Where feasible, we aim to make this list available in a table format within the preference centre, showing the cookie name, the party that sets it, its purpose, its category under Section 4, and its typical duration, so that you can make an informed choice about which categories to allow.

6. Third-Party Cookies

Some cookies on our website and Platform are placed by third parties rather than by Learnovia directly.

These third parties may include our payment processor, Stripe, which sets cookies necessary to process plan payments securely and to prevent fraud; analytics providers, who help us understand how our website and Platform are used; and, where applicable, marketing and social media platforms that we use to promote Learnovia and measure the effectiveness of our marketing activities.

Each third party that sets cookies through our website or Platform is responsible for its own cookies and for how it processes any information collected through them, in accordance with its own privacy and cookie policies. We encourage you to review the relevant third party's policy for more detailed information about how it uses cookies and the personal data it may collect through them.

We select third-party providers with reasonable care and, where appropriate, put contractual arrangements in place to govern how they may use data collected through cookies placed on our website or Platform, but we do not control, and are not responsible for, the specific cookie practices of independent third parties beyond what is disclosed to us and reflected in this Policy.

7. Managing Your Cookie Preferences

Where required by applicable law, we will ask for your consent before placing non-essential cookies, such as analytics or marketing cookies, on your device, typically through a cookie banner or preference centre displayed when you first visit our website. You can generally choose which categories of non-essential cookies to allow, and you can change your preferences at any time by returning to the cookie preference centre, usually accessible through a link in the website footer.

In addition to any preference centre we provide, most web browsers allow you to control cookies through their settings, including options to block all cookies, block third-party cookies only, delete existing cookies, or receive a notification each time a cookie is set. Because the process for managing cookie settings varies between browsers and browser versions, we recommend consulting your browser's help documentation for specific instructions.

Please be aware that blocking or deleting strictly necessary cookies is likely to affect the functionality of the Platform, and may prevent you from logging in, remaining logged in, or using certain features as intended. Blocking functional, analytics, or marketing cookies is less likely to affect core functionality, though it may affect how the website or Platform is personalised for you and may limit our ability to improve the Service based on aggregated usage information.

If you access the Platform through a mobile browser, similar cookie management options are generally available through your mobile browser's settings. Where the Platform is accessed through a dedicated mobile application in the future, we will provide equivalent information about any tracking technologies used within that application and how you can manage your preferences, either within this Policy or in a supplementary notice.

Withdrawing consent to non-essential cookies does not affect the lawfulness of any processing carried out based on your consent before its withdrawal, and does not prevent you from continuing to use the core functionality of the website and Platform, subject to the effect of disabling strictly necessary cookies described above.

In addition to browser-level and preference-centre controls, some third-party providers whose cookies we use offer their own opt-out mechanisms, particularly in relation to interest-based advertising. Where applicable, links to these third-party opt-out tools will be made available through our cookie preference centre or within our Privacy Policy, alongside general industry opt-out resources offered by digital advertising trade bodies, which allow you to manage preferences across multiple advertisers at once rather than site by site.

8. Do Not Track Signals

Some web browsers offer a "Do Not Track" (DNT) setting that sends a signal to websites you visit indicating that you do not wish to be tracked. There is currently no universally accepted standard for how websites should respond to DNT signals, and, as a result, our website and Platform do not currently respond differently based on whether a DNT signal is present.

Instead, we provide the cookie preference controls described in Section 7 as the primary mechanism for you to manage which categories of non-essential cookies are placed on your device when you use our website and Platform. If industry standards around DNT signals develop further, we will consider updating our practices and this Policy accordingly.

9. Legal Basis for Our Use of Cookies

Where applicable data protection and e-privacy law requires a legal basis for placing cookies on your device, we rely on different bases depending on the category of cookie involved. For strictly necessary cookies, we rely on the fact that these cookies are essential to provide the website and Platform functionality you have requested, such as maintaining a secure logged-in session, meaning consent is generally not required for this category, consistent with applicable e-privacy law exemptions for cookies that are strictly necessary to deliver a service you have asked for.

For functional, analytics, and marketing cookies, where these are not strictly necessary for the operation of the website or Platform, we generally rely on your consent, obtained through the cookie banner or preference centre described in Section 7, before such cookies are set. Where permitted by applicable law, we may in some cases rely on our legitimate interests for limited analytics purposes, such as basic aggregated statistics about website performance, provided this is balanced against your rights and expectations, and we will always still offer you the ability to opt out through your cookie preferences where required.

You are entitled to withdraw consent to non-essential cookies at any time, with the same ease with which you gave it, using the cookie preference centre or your browser settings, as described in Section 7. Withdrawing consent will not affect the lawfulness of any processing already carried out based on that consent before its withdrawal.

10. International Considerations

Because Learnovia serves Customers and website visitors in different countries, the specific legal requirements governing our use of cookies may vary depending on where you are located. In jurisdictions with specific e-privacy or cookie consent requirements, such as those within the European Union and the United Kingdom, we aim to obtain your consent for non-essential cookies before they are placed, in accordance with the approach described in Sections 7 and 9.

In jurisdictions where cookie-specific consent requirements differ or are less prescriptive, we still aim to apply consistent practices across our website and Platform where reasonably practicable, offering visitors and Customers meaningful choice and transparency about the cookies we use, in keeping with the spirit of this Policy, even where local law may not strictly require the same level of consent.

If you are accessing our website or Platform from a jurisdiction with data protection or e-privacy requirements not specifically addressed in this Policy, and you have questions about how those requirements apply to our use of cookies in relation to you, please contact us using the details in Section 11, and we will do our best to provide relevant information or direct you to additional resources.

11. Changes to This Cookie Policy

We may update this Cookie Policy from time to time to reflect changes in the cookies and similar technologies we use, changes in the third-party service providers we work with, or changes in applicable law. Where changes are material, we will provide reasonable notice, such as by updating the cookie banner or preference centre on our website, or by other means consistent with the notice provisions in our Privacy Policy.

The "effective date" of the current version of this Policy will be indicated on our website. We encourage you to review this Policy periodically, together with our Privacy Policy, to stay informed about how we use cookies and other tracking technologies.

12. Relationship to Our Privacy Policy

This Cookie Policy forms part of, and should be read alongside, our Privacy Policy, which provides more detailed information about how we collect, use, disclose, and protect personal data generally, including personal data that may be collected through the cookies described in this Policy. Where this Cookie Policy and our Privacy Policy address the same subject matter, both should be read together; in the event of any direct conflict specifically regarding the use of cookies, this Cookie Policy will take precedence in relation to that specific subject matter.

Personal data collected through cookies, such as information linking your browsing activity to your Learnovia account, is handled in accordance with the principles set out in our Privacy Policy, including in relation to data security, retention, and your rights as a data subject, to the extent that data constitutes personal data under applicable law.

13. Contact Us

If you have any questions about this Cookie Policy, or about how we use cookies and similar technologies on our website or Platform, please contact us using the contact details published on the Learnovia website and within your account dashboard.

We aim to respond to cookie and privacy-related enquiries in a timely manner. If you are not satisfied with our response, and applicable law gives you the right to do so, you may also have the right to raise a complaint with your local data protection supervisory authority regarding our use of cookies and other tracking technologies.

Thank you for taking the time to read our Cookie Policy. We are committed to being transparent about how we use cookies and similar technologies, and to giving you meaningful control over your preferences wherever possible, so that you can use our website and the Learnovia Platform with confidence in how your information is being handled.
